Privacy Policy
1. Who we are
This policy explains how [legal entity name to be confirmed] (ABN [to be confirmed]) trading as FIRE5 (“FIRE5”, “we”, “us”) handles your personal information. It covers fire5.com.au, our campaign landing pages, the FIRE5 Business Network, and our FIRE5 events in Australia, the United Kingdom and New Zealand.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where we handle the personal information of people in the United Kingdom or the European Economic Area, the UK GDPR and EU GDPR also apply, and section 12 sets out your additional rights. Where we handle the personal information of people in New Zealand, the Privacy Act 2020 (NZ) also applies, and section 13 applies.

2. What we collect
Information you give us. When you fill in a form on one of our pages we collect your name, email address and mobile number. Depending on the form we also collect the city or event you are interested in, how many tickets you want, your business name, and what you are primarily interested in. If you contact us directly we collect whatever you choose to include.
Information about your visit. We use Umami, a privacy-focused analytics tool we host ourselves. Umami does not set cookies and does not store your IP address. It records the page you viewed, the referring site, your approximate country and region, and your browser and device type. We use this only to count visits and understand which pages and campaigns work, never to build a profile of you or to target advertising at you.
Session analytics. Our campaign landing pages use Microsoft Clarity to record how pages are used — clicks, scrolling and general navigation — so we can see where a page confuses people. Clarity uses cookies and similar technologies. We only load it once you have consented where consent is required. See section 8.
Advertising and measurement. We advertise on Meta (Facebook and Instagram). Our pages carry the Meta Pixel, and we send Meta server-side conversion events through the Meta Conversions API. This means Meta receives information about your visit and, when you submit a form, a securely hashed version of your email address and mobile number so it can measure and improve our advertising. Meta uses cookies and similar technologies for this. Section 8 explains your choices.
Payment information. If you join the FIRE5 Business Network your card details are collected and stored by our payment provider, not by us. We receive only a record that a payment succeeded or failed and the last digits of your card.
Campaign parameters. When you arrive from an advertisement we record the campaign, source and medium that referred you, and we pass them through to the ticketing or checkout page so we can attribute the sale.
We do not seek sensitive information as defined in the Privacy Act, and we ask that you do not send it to us.
3. When you can deal with us anonymously
You can browse fire5.com.au and our landing pages without telling us who you are. We need your name, email and phone number to send you a ticket link, to answer an enquiry, or to set up a Business Network membership. If you do not provide them we cannot do those things.
4. How we collect it
We collect personal information directly from you, through our website forms, by email, phone or message, at our events, and through our social media accounts. Where a third party such as Meta or a ticketing partner passes information to us, we collect it from them under their terms.
5. Why we collect it and what we do with it
- To send you the ticket link for the FIRE5 event you asked about and to answer your enquiry.
- To set up, run and support your FIRE5 Business Network membership, including meeting invitations, your member profile, and Level Play advertising slots.
- To take payment and manage your subscription.
- To send you marketing about FIRE5 events, the Business Network and related offers, where you have consented or where you would reasonably expect it. Every message carries an unsubscribe link.
- To measure and improve our advertising, our website and our events.
- To keep our records, meet our legal obligations, and prevent fraud and abuse.
We do not sell your personal information.
6. Direct marketing
If you give us your details we may send you marketing by email or SMS in accordance with the Spam Act 2003 (Cth). You can opt out at any time using the unsubscribe link in any message or by emailing us at the address in section 1, and we will action it promptly. Opting out of marketing does not stop service messages about a membership or a ticket you have bought.
7. Who we share it with
We disclose personal information to the service providers we rely on to run FIRE5:
| Recipient | What they receive | Why |
|---|---|---|
| Meta Platforms | Website activity, and hashed email and phone on conversion | Advertising delivery and measurement |
| [second Meta advertiser — to be confirmed] | Website activity on our campaign landing pages | A second Meta Pixel belonging to an associated advertiser also runs on these pages |
| Microsoft | Page interaction data from our campaign landing pages | Session analytics via Microsoft Clarity |
| Our advertising agency, and its workflow tool n8n | Your full form submission | Routing leads into our systems and running our campaigns |
| Google (Workspace) | Your full form submission | The access-controlled sheet our team works your enquiry from |
| Cloudflare | Technical request data such as IP address | Hosting and security for our landing pages |
| Umami on Sliplane | Anonymous, cookieless visit data | Website analytics |
| Flicket | The information you give Flicket at checkout | Official ticket sales |
| Our email, CRM and payment providers | Contact details, membership and payment records | Communications, membership administration and billing |
We also disclose personal information where the law requires it, to our professional advisers under confidentiality, and to a buyer if our business is sold.
Ticketing is handled by Flicket. When you click through to buy a ticket you leave our site and deal with Flicket under Flicket’s own terms and privacy policy. We are not responsible for how Flicket handles the information you give them.
8. Cookies and your tracking choices
Our own analytics (Umami) does not use cookies, does not store anything on your device, and does not require your consent. The Meta Pixel and Microsoft Clarity both use cookies and similar technologies.
- In the UK, the EEA and Switzerland, we ask for your consent before the Meta Pixel is allowed to track you and before Microsoft Clarity loads at all. Until you consent, neither stores anything on your device. You can change or withdraw your consent at any time using the Cookie choices link in the footer of any page. If you decline, our own cookieless analytics still runs.
- Everywhere, you can control tracking through your browser settings and through your Meta account advertising preferences at facebook.com/adpreferences.
9. Overseas disclosure
FIRE5 operates in Australia, the United Kingdom and New Zealand, and the providers listed in section 7 store and process personal information outside your country. This includes recipients in the United States (Meta, Microsoft, Google, Cloudflare), the European Union (our analytics hosting, and n8n, our advertising agency’s workflow tool, which runs under EU data residency), New Zealand (Flicket) and Australia.
Before disclosing personal information overseas we take reasonable steps to ensure the recipient handles it consistently with the APPs, usually through contractual terms. Where personal information leaves the UK or the EEA we rely on adequacy decisions or Standard Contractual Clauses. You can ask us for details using the contact in section 1.
10. How long we keep it
We keep enquiry and lead records for [retention period to be confirmed] from your last interaction with us. We keep membership and payment records for seven years after the membership ends, to meet Australian tax and record-keeping obligations. Analytics data is aggregated and retained indefinitely in a form that does not identify you.
11. Security, access and correction
We hold personal information in access-controlled systems provided by the suppliers listed above, and we take reasonable steps to protect it from misuse, interference, loss and unauthorised access. Lead records are stored encrypted in our database, and the working copy our team uses to respond to you is held in access-controlled Google Workspace. No system is perfectly secure. If an eligible data breach occurs we will notify you and the Office of the Australian Information Commissioner (OAIC) as the Notifiable Data Breaches scheme requires.
You can ask us for a copy of the personal information we hold about you, and ask us to correct it, by emailing the address in section 1. We will respond within 30 days. There is no charge to make a request. If we refuse, we will tell you why in writing and how to complain.
12. If you are in the UK or the EEA
[legal entity name to be confirmed] is the data controller. We rely on these legal bases:
- Consent for marketing messages and for advertising and session-analytics cookies.
- Contract to provide a membership, a ticket link or a service you asked for.
- Legitimate interests to run and improve our website, measure our advertising, and prevent fraud, balanced against your rights.
- Legal obligation for tax, accounting and regulatory records.
You have the right to access, correct, erase, restrict and object to our processing of your personal data, to data portability, to withdraw consent at any time, and not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects. We do not make such decisions.
You can complain to your supervisory authority: the Information Commissioner’s Office in the UK (ico.org.uk) or your national authority in the EEA.
[UK/EU Article 27 representative to be confirmed] — required where a controller outside the UK or EEA offers goods or services to people there.
13. If you are in New Zealand
We handle your personal information in accordance with the Information Privacy Principles in the Privacy Act 2020 (NZ). You have the right to access and correct the information we hold about you using the contact in section 1, and you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
14. Children
Our website, ticket forms and the FIRE5 Business Network are intended for adults. We do not knowingly collect personal information from children through them. FIRE5 Next Gen youth netball involves participants aged 12 to 17, and any personal information collected for it is collected through the event entry process with parent or guardian consent, not through this website. If you believe a child has given us personal information through this site, contact us and we will delete it.
15. Complaints
If you think we have breached the APPs, email us at the address in section 1 with the details. We will acknowledge within 5 business days and respond within 30 days. If you are not satisfied with our response you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
16. Changes to this policy
We may update this policy. The current version is always at this page and the date at the top shows when it last changed. Material changes will be notified to members by email.
